Artist dashboard

We’ve introduced a brand-new dashboard per artist so you can see everything important in one place:

  • Contact details at a glance
  • All budgets created for this artist, without going into Settings
  • An overview of all options, requests and opportunities that are still in progress
  • All due tasks related to this artist, collected in one list

Year planning

The old year view has been replaced with a brand new Year view in the same style as Month:

  • Cleaner, more compact year grid per artist
  • The selected period is shown in the bookings list below for quick review

Business identity

We’ve added more customization options for your forms in Company settings:

  • Set your primary color (used for buttons and borders)
  • Set your secondary color (used for focus states and other secondary UI elements)
  • Upload a background image to use on your forms
  • The “Sign online” button in agreement emails now follows your brand styling 

Email templates & settings

As customization in Artwin Live grows, we’ve split email configuration into two sections in Account settings:

  • Email settings – technical and delivery settings
  • Email templates – content and layout of your emails 

This makes it easier to manage style and content separately from your general email configuration.

Artist statements (beta)

You can now send artist statements to your team members.

  • New Statements tab in Bookings
  • Team members must be linked to a contact from your Relations to appear in Statements
  • You can download or send the statement directly
  • A new email template for Statements has been added under Account settings → Email templates 

(This feature is currently in beta.) 

Purchase invoices

You can now register and track purchase invoices in Artwin Live: 

  • Attach purchase invoices to team members and purchases in the Invoices section of a booking
  • Tracking is disabled by default – enable it via Account settings → Financial & invoices
  • New Purchase invoices section in the menu to monitor all purchase invoices and their due dates
  • Track invoices you haven’t received yet via the Purchases → Manage tab

Invoices

  • You can now reorder invoice lines by simple drag and drop.
  • When creating consolidated invoices, we now insert booking divider lines using a 0,00 value line for clearer separation between bookings.
  • Because of this change, existing consolidated invoices will not automatically get these new divider lines – they only apply to newly created consolidated invoices.

  • You can now add additional bank details in Account Settings → Company Information.
  • In Account Settings → Financial and Invoices, you can now set it so that these bank details are also displayed on the invoice.
  • Team members with Administrator rights cannot send contracts or create invoices; only the owner (agency) of the schedule (artist) can.
  • If the default calculation method of the account is the same as the calculation method in the booking, it can no longer be adjusted.

Finance

  • Amounts and totals are no longer visible in the Planning overviews.
    • Agencies can use the Bookings section to view totals and financial details.
    • Artists can use the Financial section to view totals and financial details.

Assign contact roles

  • You can now define the primary and finance contact persons for a business, and specify whether a contact is authorized to sign contracts. (Primary contacts can always sign contracts.)
  • Contracts can be sent to a booking’s contact person, even if they are not authorized to sign — in that case, the primary contact person will be listed on the contract.
  • Unsent invoices created in bookings are now automatically attached to the agreement email and sent to the booking contact, even if the invoice contact is different.
    • You can disable this behavior in Invoice Settings if you prefer to send invoices separately to the correct invoice contact.

Contact documents

  • You can upload documents to relations (CRM) and track their expiration dates. For instance for passports or taxation documents.
  • You can upload documents at the agency level and mark them as applicable to all artists.
    • A warning message will now appear in a booking when a required document is expired on the day of the performance.
  • All uploaded documents with it's expiration date are listed in the new Documents tab under Relations.
  • You can also upload files and set no expiration date.

Various

  • Added email template for sending itineraries.
  • Added email templates for second and final invoice reminders.
    • The number of Invoice reminders sent is now shown in both the table and the invoice list within the booking view.
  • Grouped email templates into categorized sections.
  • Added a CC field in email forms.
  • You can now set a CC email address per contact person, which is automatically added as a CC recipient in email forms.
  • You can now set your default map application to Google Maps, Apple Maps or Waze.
  • We've added a "Bookings" and "Invoices" button the crm view to show bookings and invoices of a specific client

Improvements

  • When navigating back from a booking to a list, the booking you just viewed will now be highlighted.
  • We reintroduced the overview Options in Bookings to view all options, requests and oppertunities.

  • Fixed a bug where sending itineraries was not possible.

  • Added a totals footer row to the Margins and Bookings tables for quick overviews.
  • Accounts with multiple agents can now control the visibility of the Margins table through a new permission setting.
  • Agencies with multiple agents can now assign company email addresses to individual agents.
  • Users with access to multiple teams can now switch between teams directly from the menu.
  • Dutch users can now export monthly music royalty (Buma) reports in the official structured Excel format defined by Buma/Stemra.

  • When VAT is applied, the amount excluding VAT is shown in the invoices list within a booking.
  • Added the ability to override the “Apply letterhead” setting in account settings, allowing it to always be applied to contracts. 
  • No notification is sent to team members when changes were made to the team notes.

Bugfixes

  • In certain circumstances, the region conflict message was not shown when creating a new booking.
  • Fixed several reported UI issues.

Improvements

  • Improved table layout for better readability on smaller screens

Booking & planning enhancements

  • Added a new booking status: Opportunity, visible only to the managing user, not to team members
  • Introduced a Month Planning View. A clear, calendar-style overview of all bookings
  • Added a Bookings Overview replacing “Attention”, providing a unified view of bookings that need follow-up.

Finance & invoicing updates

  • You can now bill separate booking fee, or include it in the gross fee (“all-in fee”).
  • Added a Margin View. See your profit per month or within any custom date range
  • Set the number of days before performance when invoices must be created
  • Introduced a brand new Create Invoices view, listing all bookings ready for invoicing
  • Added Collection Invoices. Combine multiple bookings for the same client into one invoice,with a neatly formatted layout and an automatically generated subject line.

Additional email addresses

  • Agency users can now add additional email addresses to their account. You first have to verify the email address and the domain to use this feature.
  • Additional email addresses can be selected when sending emails or set as the default sender in email templates. For instance, if you want to send invoices from invoices@example.com

Buma (Dutch users)

  • A new Buma overview in Bookings
  • Export data directly in the official Buma-compatible Excel file format
  • The repertoire list of the artist is attached to the Excel file

Other Improvements

  • We've changed the way the Setlist feature works:
    • The default Setlist is now called “Repertoire list” and serves as a template for Setlists in bookings.
    • The Repertoire list (formerly the Default Setlist) is no longer shown as the booking’s setlist.
  • Accounts with non-exclusive artists can now convert an artist between Non-exclusive and Exclusive, and vice versa.
  • Register purchase invoices from artists within bookings, and track whether they’re received and when they’re due/paid in a new overview. (This feature is not available in Legacy accounts)
  • The search-bar in relations (crm) have been moved to just above the main table. We also added a search-bar to the invoice the invoices list. This is more conveinient and in line with Planning. You can also use CTRL/CMD-F on this page to start searching.
  • Artists linked to an agency are now listed in the agency’s relation view.
  • We've added a "Search business on Google" field in the create Relation dialog so results can be prefilled in the form.

  • Team members can be given permission to edit the artist profile, biography, presskit files, and set list.
  • When a booking is in request status, you can send a booking request directly to the artist or artist’s agency, providing all important information for the agency (date, times, artist, venue, etc.).
    • You can edit the email template in the Account Settings.
  • You can prepare an advance payment invoice. This will be automatically printed as a line on the agreement.
  • An advance payment invoice can be created directly from the booking status view.
  • Invoices can be labeled as: Credit, Balance and Deposit.

Improvements

  • You can click anywhere on a status card (not just the top-right icon) to view or edit it.
  • Booking template fields are available in all email templates.

Bugfixes

  • Fixed an issue in the website booking request form where the date picker didn’t allow selecting a date.
  • Resolved a language setting issue affecting the contract and invoice text.
  • Fixed an issue where contracts couldn’t be created if the venue was also marked as a client.

  • You can categorize contacts into types such as client, venue, agency, etc.
  • It’s now possible to set the venue to be the same as the client, when creating bookings.
  • When an agent sends an email and you have DKIM and SPF records configured, the email will be sent without the “Reply-To” header

  • Improved Region conflicts
    • Improved conflict detection and visibility for better control.
    • A conflict warning now appears directly in the booking status.
    • Bookings can now be opened from the Region Conflicts dialog in a new browser window.
  • New Self-bookings feature
    • Bookings created by members are now marked as self-bookings.
    • Self-bookings are shown with a distinct icon.
    • Agents can manually mark a booking as self-booking via a checkbox.
    • No deal is calculated for self-bookings.
  • Relation add/edit form fields are now ordered as: Address → Postal → City → State → Country for a clearer workflow.

  • Fixed an issue where the form field list remained fixed while scrolling.

  • You can set up default tasks in the Account Settings that will be automatically added when you create a new booking.
  • The global search (CMD-K / Ctrl-K) now also searches in past bookings.
  • New date controls have been added to the planning table for quicker navigation.
  • Team members are always shown in alphabetical order, in every view and selection list.
  • Team members now only receive notifications when one of the following changes occurs: performance date, booking status, team notes, or venue.

  • We’re starting this changelog for smaller changes. Bigger updates will be announced as usual.
  • We split the old Deal type into two fields: Calculation method and Deal type.
    • Deal type can be Buy-out, Guarantee, or Landed deal.
    • Calculation method can be set to your preferred way of calculating.
  • Two new settings in your User Profile:
    • Choose which tasks to show on the Dashboard.
    • Hide the Activity log if you don’t need it.
  • For agency users, the Roster has moved to the main menu for quicker access and is now called Day Planning.
    • When you navigate to a date and refresh, the page will now reload with the date you were viewing
  • The new text-input timetable is now parsed correctly. You can paste any text,  ideally use:
    • Start - End Title, with one or more optional description lines directly below.
  • Quicker navigation in bookings
    • Click the client in a booking to open their contact page.
    • Click an artist in a booking to open their planning.
    • If a section has no data, we hide the title and show only a short description for a cleaner layout.
