Digital contract signing flow

The new contract flow takes a booking from draft to fully signed agreement. You send the contract from the booking, the client reviews and completes the details where needed, and the agency finishes the process by countersigning.

Sending the contract

Open the booking and use the contract block to send the contract. Before sending, check the client, contact person, deal, venue, rider, additional terms and contract language. The email contains the signing link for the client.

You can also send a contract while the booking still has the status Option. This is useful when the contract should be the formal confirmation step. The booking does not have to be confirmed manually before you start the contract flow.

What the client does

The client opens the link and goes through the details, contract and signing steps. In the details step, the client can review or complete their own information, such as company details, signer details, venue details, reference or invoice details.

If the invoice should go to another address or to a specific finance email address, the client can provide that in the flow. That change is not applied blindly: during countersigning you review what was entered and decide whether to use it for the contact and invoicing flow.

Review before countersigning

After all client signers have signed, the contract returns to the agency for Countersigning. In that step you review the information the client changed since the contract was sent. This can include client details, venue details, invoice address, finance email address and advancing answers.

For new or changed client information, you decide whether to accept it, save it as a new contact, update an existing contact or ignore it. Countersigning is therefore also the review moment before information is written back to the booking, contacts or invoicing flow.

Countersigning and booking status

Countersigning adds the agency signature. After that, the contract is fully completed.

When the booking was sent as an Option and automatic confirmation after signing is enabled, the booking becomes Confirmed when the agency countersigns. This lets you send from an option and only confirm the booking once the contract is actually complete.

Advancing forms in the contract flow

Sendable advancing forms assigned to the artist can be part of the same client follow-up. The client can complete the questions through the booking portal or advancing link, and the answers appear on the booking Advancing page.

During countersigning you can review submitted advancing information as part of the same check. Completed forms can be closed, and open forms can receive reminders after the contract is completed based on their deadlines. This keeps contract signing connected to the practical preparation for the show.

Linked contract information

When you work with a linked ArtwinLive contract, you can decide which information is passed through into your own contract. Options such as rider, press kit and Pass through their advancing determine whether your contract uses the linked agency information or your own data.

Recommended workflow

Use the contract flow as a control point: send from the booking, let the client complete missing details, review changes during countersigning and only then complete the flow. That keeps changed invoice details, client updates and open advancing questions connected to the booking.
