Agents are account-level users who help run the organization inside ArtwinLive. They can work across bookings, planning, contacts, invoices, purchases and settings depending on the access rights they receive. Use agents for people who need to manage the backoffice workflow, not only receive information for one artist.
Where agents appear
- Bookings can have a responsible agent, so it is clear who owns follow-up for the client, planning, contract or finance process.
- Dashboards and overviews can use agents to show workload, attention points and bookings that need action.
- Agent access controls whether someone can create bookings, manage relations, see financial details, work with invoices or adjust account settings.
- Email and notification preferences decide which updates an agent receives while working in the account.
How to set agents
Add agents from Account settings. Give each person only the access they need for their work. Someone who handles sales may need bookings and relations, while someone who handles administration may need invoices, purchases and financial views. Review access when responsibilities change.
Agents versus team members
An agent works at account level and helps manage the organization. A team member belongs to one or more artists and is usually connected to the artist workflow: planning visibility, artist communication, riders, advancing, travel or performance information. If someone needs broad operational access, make them an agent. If someone only needs access around an artist or the bookings they are involved in, make them a team member.
