Cross-agency booking requests and option confirmations

When you book an artist represented exclusively by another ArtwinLive user, you can send a booking request to that agency from the booking. The exclusive agency reviews the request in their own account and can respond with an option confirmation.

Sending the request

The non-exclusive agency creates or opens the booking and sends a booking request to the exclusive agency. The request contains the information needed to review the booking, such as artist, date, times, location, client and event details.

Review by the exclusive agency

The exclusive agency opens the request in ArtwinLive and first checks whether the artist is available. The planning view shows existing bookings, options, appointments and other blocks on the same date. When region exclusivity is used, the region check helps decide whether the request fits the agreed regional restrictions.

Accepting with an option confirmation

If the exclusive agency can accept the request, they can send an option confirmation. This gives the non-exclusive agency a clear confirmation of the option, together with the information the exclusive agency wants to share for the next steps.

Passing through rider, press kit and advancing

When processing the approved request, the non-exclusive agency can choose which information should be linked to their own booking. The options include Pass through their rider, Pass through their press kit and Pass through their advancing. This keeps the rider, press kit and advancing questions connected to the exclusive agency, while the non-exclusive agency manages the communication with their own client.

Checking before sending on

Always review the rider before passing it through. If the rider contains contact or agency details, ArtwinLive can show a warning. You can also choose whether to copy the offer rows from the request into your own booking.

Letting the client respond

The non-exclusive agency can then send an option confirmation to their own client. The client can accept or decline the option and add a message. The linked information, such as rider, press kit and advancing questions, can be included in this step.

After client acceptance

When the client accepts the option, ArtwinLive can immediately start the contract flow. If advancing has been passed through, the advancing questions follow the information from the exclusive agency. This keeps the content consistent: the exclusive agency manages the artist information, the non-exclusive agency manages the client relationship, and the client can continue from the option confirmation into contract and advancing.
